Subscription plans: run a fan club with monthly recurring billing
How to create your fan club, set up monthly plans and benefits, understand recurring card billing, payment retries, and member management from the dashboard.
With subscription plans, your organization runs a fan club: fans subscribe to a monthly plan, pay recurrently by card through your own Asaas account (the same gateway you already use to sell tickets), and get member benefits in return — at launch, a percentage ticket discount that stacks with coupons. For a dance school, for example, the plan price can simply be the school's monthly fee.
What you need before starting
- A validated payment gateway under Settings → Payments (the same prerequisite as publishing paid events). Charges land directly in your Asaas account.
- The fan club permission on your team role: owners and admins have everything; the Manager role can set up the club, plans and benefits and view members.
Creating the fan club
In the dashboard, open the new Fan club area:
- Create the club — name, description and visibility:
- Public: the club shows on your organizer page in the portal.
- Unlisted: the club doesn't appear on the page but works normally via its direct link — use the dashboard's copy link button to share it anywhere (Instagram bio, WhatsApp group, etc.).
- Create plans — name and monthly price (e.g. "Monthly — R$ 99.00"). You can keep several active plans; billing is always monthly.
- Create benefits — at launch, a ticket discount with a percentage you choose (e.g. 10%). The benefit applies to every event of your organization while the membership is in good standing.
How the member discount works at checkout
The member discount stacks with coupons, in this order: coupon first, then the member percentage on the remainder.
Example: a R$ 50.00 ticket + a 10% coupon + a 10% member benefit → R$ 50.00 − R$ 5.00 (coupon) = R$ 45.00 → −10% member (R$ 4.50) → total R$ 40.50.
Buyers see the discount itemized at checkout (portal and app). Your ticket revenue split is calculated on the final amount paid.
How recurring billing works
- Payment method: credit card with secure tokenization (Pix for subscriptions shows in the dashboard as "coming soon").
- First charge: at subscription time. The new member's status stays Pending until the payment is confirmed — benefits only apply after confirmation.
- Renewal: every month on the same day the fan subscribed (a member who subscribed on the 31st is billed on the last day of shorter months).
- Declines and retries: if the card is declined on renewal, Baila automatically retries at +1, +3 and +5 days. Once retries are exhausted, the membership becomes Past due and the member gets an email asking them to update their card.
- Suspension: after 7 days past due without payment, the membership is suspended and benefits stop. If the member updates their card and the charge succeeds, it reactivates immediately.
- Cancellation: self-service for the member, effective at the end of the paid period — benefits remain until then and no further invoice is generated.
Baila's fee on subscriptions
Subscriptions carry their own fee, separate from the ticket fee: by default, 0.5% of each monthly charge via an automatic split. The exact rate applied is recorded on every invoice — fee changes never rewrite past charges.
Tracking your members
Under Fan club → Members you can see:
- The member list with status filters: Active, Pending, Past due, Suspended and Canceled.
- Each member's invoice history, including every charge attempt with the decline reason returned by the card network — handy for guiding the member ("expired card", "insufficient funds", etc.).
Frequently asked questions
Can I have more than one club or plan? Yes. Unlimited plans per club; deactivate a plan at any time (existing members keep it until they cancel).
What happens if I change a plan's price? Only new subscriptions use the new price. Existing members keep paying the price from when they subscribed.
Does a past-due member still get the discount? Yes, during the 7-day grace period (Past due status). Once suspended, the discount stops immediately.
How does a suspended member pay again? They update their card in the Fan club area of their portal account; the open invoice is retried right away and, once approved, the membership reactivates.
Can I refund a monthly charge? Yes, from your Asaas account (the refund shows on the invoice). A refund does not cancel the membership automatically — cancel it too if that's the intent.
Do non-members ever see the discount? No. Visitors and pending/suspended/canceled memberships get no discount.
