How to change roles, remove people and transfer ownership

Edit the access of someone already on the team, build a custom role, take someone out of the organization, and hand ownership to another person.

Once somebody is already on your team, everything about their access is handled on the same Team page — by clicking their row. The panel that opens is the same one used for invites, except it is titled Edit access and the person's name is already filled in under 1. Who.

Change someone's role or events

In the dashboard, open Team and click the row of the person you want to adjust.

Under 2. Role, pick a different card. The summary sentence just below updates immediately to describe the new access.

Under 3. Where, switch between All events and Only some events. With Only some events selected, use the checkboxes to choose exactly which events this person reaches.

Click Save. The change applies from the person's next page load — you do not have to warn them or ask them to sign in again.

You can only hand out a role that already fits inside your own. If you try, you get "You cannot hand out a role with more access than your own. Ask the owner."

Build a custom role

The eight built-in roles cover almost everything, but sometimes one detail is missing — a Producer who also needs to see the orders, for instance.

Under 2. Role, start by picking the card closest to what you want.

Click Need something different? Customize. A list of toggles opens, grouped by subject — Organization, Team, Integrations, Events, Orders, Check-in, Promoters, Finance — with a checkbox for each item.

Tick and untick what you need. Items marked are sensitive actions (refunding orders, changing payment details); dimmed ones are outside your own access, so you cannot pass them on.

As soon as the toggles stop matching the original card, a Save as a new role field appears. Give it a short, clear name (the panel suggests something like "Producer+").

Click Save (or Send invite, if this is a new invite). The role is created and the person starts using it.

"The new role becomes available for the next people you invite." — it turns into one more card under 2. Role. If you reuse a name that already exists, you get "A role with that name already exists."

Remove someone from the team

Open Team and click the person's row.

At the bottom of the panel, click Remove from the team.

Confirm the question "Remove ... from the team? Access is revoked immediately."

Removal takes effect right away: the person loses access to your organization's dashboard on the next thing they try to do. Their personal Baila account keeps existing — what ends is the link to your organization.

Transfer ownership

Only an Owner sees the Transfer ownership button, and it only shows up when the person open in the panel is not an owner yet.

Open Team and click the row of the person who will receive ownership.

Click Transfer ownership and confirm the question "Make ... an owner of the organization?".

From then on, both of you are owners. If you no longer want the job, open your own row and change your role to Administrator (or something smaller).

The organization can never be left without an owner. If you try to demote or remove the only owner, Baila refuses with "This is the only owner. Make someone else an owner before changing this one."

The Activity tab: who did what

On the Team page, next to the Team tab, there is an Activity tab. It lists, in order and with a timestamp beside each line, everything that has happened to access in your organization:

  • invites sent, resent, cancelled and accepted;
  • role changes and changes to which events a person can reach;
  • people removed, suspended and restored;
  • roles created, edited and deleted;
  • API keys created and revoked.

When an action came from an integration rather than a person, the line starts with An API key. Nothing in this list is ever deleted — it is the record that answers "who did this, and when?".
